Elevator Planner ("we," "our," or "us") respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

2.1 Information You Provide
- Account Information: Email address, name, password
- Profile Information: Route area, route number, initials, location (city, state, country)
- License Information: Elevator mechanic license number, license state (for licensed users)
- Company Information: Company affiliation (optional, for licensed users)
- Route Data: Building addresses, equipment information, service records, notes
2.2 Information Collected Automatically
- Usage Data: Pages visited, features used, time spent in the application
- Device Information: Browser type, operating system, device type
- IP Address: Collected for security and authentication purposes
3. Third-Party Services
3.1 Google Maps™
We use Google Maps™ API to display building locations and route maps. Google Maps™ is a trademark of Google LLC.
Google may collect:
- Your IP address
- Device information (browser type, operating system)
- Map interaction data (zoom level, pan movements, marker clicks)
Google's use of this data is governed by Google's Privacy Policy.
Important: We do NOT share your route data, building addresses, or service records with Google Maps.
Google only sees anonymized map interactions.
3.2 Firebase™ Services (Google LLC)
We use Firebase™, a service provided by Google LLC, for authentication and data storage. Firebase™ is a trademark of Google LLC.
Firebase Authentication:
- Processes user authentication exclusively in the United States
- Collects: Email address, authentication tokens, IP address
- Data transfer: US-based servers with Standard Contractual Clauses (SCCs) for international transfers
Cloud Firestore:
- Stores your route data, building information, service records, and user profile
- Data location: United States
- Encryption: Data encrypted in transit (HTTPS) and at rest
Firebase's data practices are governed by:
3.3 Stripe™
Payment processing is handled by Stripe™, Inc. Stripe™ is a trademark of Stripe, Inc.
Stripe collects:
- Payment card information (stored securely by Stripe, NOT by us)
- Billing information (name, address)
- Transaction history
Stripe's data practices are governed by Stripe's Privacy Policy.
4. Local Storage (Your Device)
IndexedDB and Local Browser Storage
The application stores route information locally on your device using IndexedDB for offline functionality.
This data remains on YOUR device and is controlled by YOU.
We only sync this data to our servers when you explicitly save or update your route information.
You can clear local data at any time through your browser settings.
5. How We Use Your Information
- To provide and maintain the Service
- To verify your elevator mechanic license (if applicable)
- To process payments and manage subscriptions
- To send important service notifications (trial expiration, subscription updates)
- To provide customer support
- To improve and optimize the Service
- To ensure security and prevent fraud
6. Data Sharing and Disclosure
We do NOT sell, rent, or trade your personal information to third parties.
6.1 Work Records vs Personal Notes
Elevator Planner supports two distinct types of information with different sharing rules:
Personal Notes (Never Shared)
- Stored only in your account
- Never visible to other users
- Never shared with Companies or Teams
- Deleted when you delete your account
Work Records (Shared with Your Consent)
- Shared only when you explicitly create them as "Work Records"
- Visible to members of Companies or Teams you join
- Remain with the group for service continuity (similar to machine room maintenance logs)
- You control what becomes a Work Record vs. a Personal Note
6.2 We share information in the following circumstances:
- Work Records You Create: When you explicitly create and share Work Records
with your Company or Team members
- Service Providers: With Google (Firebase, Maps) and Stripe for essential
service functionality
- License Verification: Your license number with NY State Department of Labor
public records database (verification only)
- Legal Requirements: When required by law or to protect our rights and safety
We NEVER share:
- Your Personal Notes with anyone
- Your account data with your employer
- Your route information with third-party marketers
- Any data for advertising or tracking purposes
7. Data Transfers
Your information may be processed and stored in the United States. If you are located outside the United States,
please be aware that your data will be transferred to, stored, and processed in the United States.
We rely on Standard Contractual Clauses (SCCs) approved by the European Commission for international data
transfers where applicable.
8. Data Retention
We retain different types of data for different periods based on their purpose and your control over them.
8.1 Personal Account Data
- While Account Active: Email, name, license information, profile settings
- After Cancellation: Retained for 30 days, then permanently deleted
- Legal Requirements: Payment records retained for 7 years for tax compliance
8.2 Personal Notes (Private Data)
- Storage: Stored securely in Cloud Firestore while your account is active
- Access: Only YOU can access your Personal Notes
- After Cancellation: Permanently deleted within 30 days
- User Control: You may delete Personal Notes at any time through the application
8.3 Work Records (Shared Collaboration Data)
When you create Work Records and share them with your Company or Team,
these records serve a similar purpose to maintenance logs in machine rooms.
- Purpose: Service continuity, safety, and industry standard maintenance documentation
- Retention: Work Records remain accessible to your Company/Team group indefinitely
- After You Leave: Work Records you contributed remain with the group for service continuity
- After Account Deletion: Work Records are de-identified (your name is removed,
but the service information remains with timestamp)
Why Work Records Persist:
Work Records function like entries in a building's maintenance log. Just as a mechanic
cannot remove their maintenance entries from a machine room log book when they change
employers, Work Records remain to ensure service continuity and safety.
This is standard industry practice and serves legitimate regulatory and safety purposes.
8.4 Team Data (Temporary Collaboration)
- While Team Exists: Shared data accessible to all Team members
- When Team Dissolved: All shared Team data is permanently deleted
- Exception: Your Personal Notes related to Team buildings remain with you
8.5 Legal and Regulatory Retention
- Payment Records: Retained for 7 years (IRS requirements)
- License Verification Logs: Retained for 3 years (audit purposes)
- Security Logs: Retained for 90 days (fraud prevention)
9. Your Rights and Choices
You have the following rights regarding your personal information:
- Access: Request a copy of your personal data
- Correction: Update or correct inaccurate information
- Deletion: Request deletion of your account and data
- Data Portability: Export your route data in a machine-readable format
- Opt-Out: Unsubscribe from marketing emails (we send very few)

10. Data Security
We implement appropriate technical and organizational measures to protect your personal information:
- HTTPS encryption for all data in transit
- Firestore security rules to prevent unauthorized access
- Firebase Authentication with secure token management
- Regular security audits and updates
However, no method of transmission over the Internet is 100% secure. While we strive to protect your data,
we cannot guarantee absolute security.
11. No Analytics or Tracking
We value your privacy!
We do NOT use:
- Google Analytics
- Facebook Pixel
- Any third-party tracking or advertising services
- Marketing cookies or behavioral tracking
The only data collection is through Google Maps, Firebase, and Stripe as described above,
which are essential for the application to function.
12. Children's Privacy
The Service is not intended for individuals under the age of 18. We do not knowingly collect personal
information from children. If you believe we have collected information from a child, please contact us
immediately.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any significant changes by
email or through a prominent notice in the Service. The "Last Updated" date at the top of this page
indicates when the policy was last revised.
